Avoiding Duplicated Clients
To ensure the integrity of the system, we aim for zero duplication of client profiles, in other words, a client who has more than one client profile and HMIS ID. Once you find your client, you can click on their name in the search results. Once you have selected your client, their name will appear at the top of the screen with their records below.
To avoid duplication, be sure to follow these guidelines:
- Search for the client by their First Name and Last Name.
- Search using first or last initial because the name in HMIS could be misspelled.
- Search using nicknames or diminutives if the client uses them.
- If the INTAKE workflow detects a possible match, review the results and select your client if you see them; if not, you can simply continue with the workflow and create a brand-new client profile.
