HUD APR and CAPER Reporting

OVERVIEW

The CSV APR - FY2024 report is used by CoC-funded projects.

The CSV CAPER - FY2024 report is used by ESG-funded projects.

The APR / CAPER REVIEW is a supplemental tool to review the report onscreen and drill into the numbers to investigate data quality before you submit your CSV export to your funder. You can also print or save to PDF from here.

PREPARATION

These two CSV reports are used to export data from HMIS. The exported data is simply a series of CSV formatted tables that are zipped together and uploaded to the HUD reporting repository. It is critical that the contents of the zip file ARE NOT CHANGED. If the contents are changed, likely there will be a problem with uploading the file to the repository. The name of the zip file can be changed, but nothing else.

To prepare the export, follow these steps

1. Navigate to the REPORTS workspace >> HMIS EXPORTS, and select your report.
2. Set your Date Range for the reporting period.
3. Select your Organization and Project.
4. Keep "Generate Validation File" checked to review data quality.
5. Click RUN EXPORT.

Be sure to uncheck "Encrypt Export" and assume responsibility for the file. The HUD repository won't recognize an encrypted file.

There will be three zip files created under the FILES ON SERVER screen. While you wait, you can leave this screen and return later.

1. The "Pre-Load" zip file can be ignored.
2. The "Export" zip file will take approximately 10-15 minutes to generate and is the file you upload to the federal repository.
3. The "Validation" zip file is for internal purposes only and contains client-level data. Do not share this file without the proper protection or encryption. Advanced users can use the validation files for in-depth data quality review and ad hoc reporting.

REVIEW & ANALYSIS

Once the export process is finished, you can use the APR / CAPER REVIEW tool found under HMIS EXPORTS.
